Popular File Sharing Solutions

We are often asked about the possible file sharing options for our clients. Below is a breakdown of the more popular options:

  1. Simple Login Portal Script
    • Notes – A web script that we have whereby we have one username and password for all clients.  We can upload any number of documents to that page and have subpages.
    • Pros – Easy to install. Easy to maintain.  Upload all documents needed to start and only update a few times a year.
    • Cons – Only one password for the page.  All clients see the same information, unless you setup multiple pages for each client.  Also have to upload files manually and does not auto-sync with your existing local file system.
    • Budget –About 4 hours to build the page and copy over the existing security codes from our code base.  Depending on the number of documents and formatting, we can increase the budget as needed to create the page.
  2. Password Protected Pages in WordPress
    • Notes – WordPress comes with the ability to password protect any page.  We can setup pages to be hidden from the menu and only available to clients.
    • Pros – Easy to install. Easy to maintain.  Upload all documents needed to start and only update a few times a year.
    • Cons – Only one password for the page.  All clients see the same information, unless you setup multiple pages for each client.  Also have to upload files manually and does not auto-sync with your existing local file system.
    • Budget – Just the time to create the page and type in a password.  You can create the main page and subpages.  You can password protect them all. $150 estimated to assist in setting up the pages.  Securing the pages takes no time at all.
  3. WordPress Plugins
    • Notes –  There are a variety of WordPress plugins that create intranets and file portals including: https://wp-client.com/
    • Pros –  Easy to install and lots of features.
    • Cons – Hard to customize. Also have to upload files manually and does not auto-sync with your existing local file system.
    • Budget – $119 for the plugin and most likely a few hours to install/setup. $600 estimated total cost.
  4. Cloud File Sharing Solutions, Client Management Solutions & Sharepoint
    • Notes – There are various file sharing solutions like DropBox.com, Box.net, Google Drive and others.  There are also client management systems like www.basecamp.com. Finally, there are solutions like Microsoft’s Sharepoint to share local files on the web.
    • Pros – Varies by service, but usually easy to use and robust feature sets.
    • Cons – Ongoing monthly fees and the concern on security of files.
    • Budget – Varies by service.
